Brief information - announcement

Crimean Laboratory of Sternberg Astronomical Institute, MSU The 12th International Astronomy Olympiad will be held on September 29 - October 7, 2007. The dates are about the same as three, four, six and eight years ago when the IX IAO, VIII IAO, VI IAO and IV IAO took place in Crimea and Stockholm.

States-participants. List of the states participated in IAO last years. The XII IAO will be organized at historical territory of IAO, so it is possible for new countries to start their participation just in 2007. You are welcome!

Note: It would be a pity if some states are late to send necessary documents for IAO. In this case we recommend to send the same team application to the The 3rd Asian-Pacific Astronomy Olympiad (November 21-29, 2007).

Formation of the teams. One may find the rules of teams forming in the Acting Statutes/Regulations of the International Astronomy Olympiad and the Supplementary Instructions N 3.

Observers are welcome to the Olympiad!

Problems. Character of the problems to solve were analogous to ones of the previous International Astronomy Olympiads (1996-2006). The XII IAO will keep traditions and scientific educating style of the event.

Official languages of the Olympiad are English and Russian. Problems will be prepared by the Organizing Committee in these two languages and the leaders are responsible to translate tasks to native languages of participants just before the rounds (three hours before).

Host and dates. The main place of the Olympiad - settlement Simeiz, South Coast of Crimea (about 105 km from capital of Crimea, town of Simferopol'). The duration of the Olympiad to be 9 days (8 nights) that is usual now. Arrangements for local hospitality to all participants (contestants, team leaders, observers) will be done from Saturday, September 29 (day of the official arrival) to Sunday, October 7 (day of the departure). All participants will be accommodated in the House of Scientists in Katsiveli (district of Simeiz). Accommodation for extra days (if necessary) is possible two days before September 29 and two days after October 7 (but not more).

Pre-Applications, short report. As an obligatory preparing for the application a short report of National Olympiad of the current year has to be presented by the applicating team (see the necessary actual points of the report, its form and examples in the Supplementary Instructions N 10). The report with texts of all problems used during all-national stages (including ones during the possible preparing camps) of the National Olympiad should be done in one of the official languages of the Olympiad (Russian or English). The final minutes (protocols written in Latin or Cyrillic) of the Olympiad (evaluating of solutions of the students participated in the last stage of the Olympiad) should be included as well.

For the countries, starting their activity at the International Astronomy Olympiad (see the Supplementary Instructions N 3), the requirements for the short report are not strong.

According to the IAO-regulations the report to be presented 5 weeks before the application. Pre-application is desirable together with the short report.

  • E-mail for sending the reports.

    Not later than in five weeks after receiving the report (as usual - earlier) the Chairman of the Olympic Advisory Committee will issue resolution about possibility for the country to send full (or not full) team to the IAO (i.e. solution about the representation quota: according to # 5.2.1. or to # 5.2.2. of the Statutes/Regulations the team may be form). In cases the decision for some team is not clear the Chairman organizes discussion in the Olympic Advisory Committee for the common issue.

    Applications. After receiving the resolution (and only after) about possible number of participants the country have to send application. Applications should be done in advance (regular deadline is 13 weeks before the Olympiad, i.e. not later than the end of June for the IAO-2007) for the Olympic Advisory Committee. Application includes:

  • Personal data of all proposed team leaders and participants.
    The list of the necessary personal data is analogous to ones of the previous years for IAO.
  • Rules and Regulations for a participant of the Olympiad - translation to the national language of participants (two documents).
  • The application itself.

    Visas. Reservations. The department of visas and permissions of Crimea may give obligation to issue invitation only within 2.5 months after receiving applicating letter from LOC that contains all necessary personal data. For special urgent cases and additional fee it may be done within 1.5 months (but seriously additional fee). So, taking into account that some time is necessary for LOC to send the invitations and for team members take visas, the total periods of preparing before the Olympiad are about 3 and 2 months respectively. The same time is necessary for LOC for correct reservation places for these teams and for teams arriving without visas as well.

    After receiving the formal letter of invitation from the Chairman of the Local Organizing Committee, participants should apply to the Ukrainian embassy/consulate for obtaining the necessary visas.

    • Note 1: A team may use other way to get visas (i.e. not through invitations of the department of visas of Crimea organized by the LOC), but it necessary to inform LOC about this way in advance and take permission from LOC.
    • Note 2: LOC may send various types of invitations issued by organizations involved into IAO-2007 organization. As usual these invitations are not official for asking visas in Ukrainian Consulates, but in some cases it maybe helpful. The faxes with such unofficial invitations may be sent directly to the Consulates as well.
    • Note 3: For the case a team is late to send the data in time: LOC recommends to use tourist companies in your country to obtain tourist visas to Ukraine. The faxes with unofficial invitations may be sent directly to the tourist company (to the company you choose) as well.
    • Note 4: LOC cannot adopt team of a state with official passports without visas if visas are necessary for the citizens of the state with usual passports.
    • Note 5: For some European countries it became easier to enter Ukraine in comparison with the situation at IAO-2004. Please, contact Ukrainian Embassy in your country to learn more.

    Deadlines

  • Short reports. According to the information above the deadline for receiving the short reports of Nationals Olympiads of the current year (with a set of all problems used on the National Olympiads) 13+5=18 weeks before the Olympiad:

  • Applications. Personal data for visas. According to the information above:

      • The regular deadline for receiving by LOC all personal data of proposed participants and leaders (maybe with some extra persons for reserve) for asking valid for Ukrainian Consulates invitations (i.e. invitations for visas):

      June 29, 2007.
      E-mails for sending applications with the data. Please, use all three e-mails.

      • Special cases deadline. It will be quite senselessly for the teams to send the personal data of participants and leaders for asking valid for Ukrainian Consulates invitations (i.e. invitations for visas) later than midday:

      July 26, 2007, midday (15 h of Crimean time = 12 h UT).
      E-mails for sending applications with the data. Please, use all three e-mails.

  • Answers and proposals for future of IAO rules. Points of view of team leaders of every participating country about some proposals to discuss about future of IAO rules should be sent not later:

  • Information about the date/time and flight/train of arrival. This information should be sent not later than 72 hours before the arrival but, in any case not later:

    Otherwise LOC cannot meet you and you have to reach Simeiz/Katsiveli yourself.
